Full-Time Library Clerk

Hours for this position will vary.

General Purpose:

Under general direction and using excellent customer service skills, the purpose of the position is to assist patrons with circulation, research and computer use, assist and instruct patrons on use of electronic and print resources and library technology. This is accomplished by processing returned materials, checking out to patrons, issuing new library cards, placing materials on hold, collecting fines and fees, guiding computer use, answering reference questions and shelving library materials. Clerk will open and close library facilities and be part of the successful implementation of the City Action Plan. This list is not meant to be all-inclusive, other duties may be assigned.

Supervision received: The Library Clerk works under general direction of the Library Director.

Examples of Duties:

  • Provide prompt, courteous and friendly service to all library visitors, whether in person, by telephone, or other methods of communication.
  • Assists with maintenance of circulation records.
  • Manages materials for library guests by using the computer to check materials in and out, record due dates, managing holds and requests, renewing materials for patrons and providing information about accounts.
  • Issues new library cards by verifying patron information, entering information into the computer, stating the current policies of the library and the limits on materials and answering questions and inquiries from the patrons.
  • Manages fines, fees and other financial transactions according to policy.
  • Shelves library materials by retrieving materials from the drop-box, assessing materials for repairs, transporting books and materials to the correct location, placing books and materials on the shelf in the correct order and rearranging books and materials as needed.
  • Assists in processing materials for cataloging, as directed.
  • Moderate to ongoing technology proficiency involving: Answers questions about public access computers; Maintains records of usage accurately; Logs computer and network problems and immediately notifies Director; Enforces city computer use policy and resolves/refers patron violations; Operate office machines (fax, scanners and copiers) for patrons.
  • Maintain the library and work areas tidy and attractive and engaging. Does a shift-walk through at the beginning and end to maintain cleanliness and order.
  • Perform special projects as needed, seeking and completing additional duties.
  • Promotes library usage by participating in creation of library displays and literacy through book/video sharing.
  • Reads department communication at the start of each shift. Be current on all library programs and events to promote to patrons accurately.
  • Assists librarian with preparation of reports and maintenance of records related to the Texas State Library, the Texas Library System, and any sources of funding, such as grants. This is supported by accurate record keeping and special assignment.
  • Seeks out, shares and implements new ideas.
  • Supports and implements City of Melissa strategic planning.
  • Provide direction and utilize library volunteers and community service workers.
  • Attend staff meetings, training sessions, professional development workshops and other meetings or training as deemed necessary.
  • Opens and closes library facilities by logging computers on and off of the system, empties trash cans as needed, turns off equipment and lights, arming and disarming building alarm system and unlocking and locking doors. Must be able to work independently as the sole staff member on duty.
  • Take appropriate action, as necessary in event of emergency conditions, (i.e. call 911, direct patrons/staff to storm shelter, etc.).
  • Performs all other duties as assigned.

Minimum Qualifications

  1. Education and Experience: Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. Examples are as follows:
    1. Education: High School Diploma or GED
    2. Some college preferred
  2. Must be at least 18 years old, Understand and abide by the ALA (American Libraries Association) Privacy and Confidentiality Rules.

 

Required Knowledge, Skills, and Abilities

Knowledge of: Policies and procedures of department; Basic principles of business letter writing and basic report preparation; Principles and practices of mail collection and distribution; Basic mathematical principles; English usage, spelling, grammar, and punctuation; Principles and procedures of filing; Modern office procedures, methods, and computer equipment; Typing and/or word processing techniques.

 

Skill in: General office procedures and in the operation of standard office equipment, including but not limited to phone system, fax machine, copy machine, computer keyboard, 10-key data entry, and Microsoft Office (i.e. Word, Excel, Outlook); Excellent customer service, time management, and self-motivation; Observation in order to read, sort and shelve library materials and maintain catalog records.

 

Ability to: Work well under pressure, prioritize projects, be detail/deadline oriented; communicate both orally and in writing; Follow instructions precisely; to maintain strict confidentiality in all aspects of the job; Develop and maintain a positive working relationship with fellow employees, supervisors, and general public; Be a self-starter and seek out opportunities; Work evenings and weekends; work overtime as needed; Maintain a professional appearance and attitude; sit and stand for extended periods of time; Lift office supplies and library materials up to 25lbs.
